CASE STUDY

INTRODUCTION

The Warehouse Group (TWG) is the largest retail group in New Zealand, generating $3 billion in sales. With six core retail brands (The Warehouse, Warehouse Stationery, Torpedo7, Noel Leeming, 1-day and TheMarket), over 260 retail stores, online platforms, and distribution centers nationwide, TWG is known for its sustainable practices and customer-first approach.  ​

Department ITS chapter at TWG is responsible for managing multiple contracts related to procuring Hardware, Software, resources and managed services. It spread across multiple vendors and also with different domains in ITS Chapter Area.

CHALLENGE

Due to the lack of a standard process for the procurement process, there were challenges like:​

  1. Current forms were lengthy to fill up and takes longer for getting signed approvals​

  2. Lack of visibility w.r.t the current stage of the contract​

  3. No single consolidated register mapped to contractors was available​

  4. No capacity for notification for renewals which results at times in missing timelines ​

  5. Each domain needs to manage its own register for Employee and Tribe​

SOLUTION

  • Developed a Power App + SharePoint based solution to map the contract register lifecycle with automated flows.​

  • Single Consolidated View of Contract Master​​

  • Manage Contract Approval Lifecycle stages with simple intuitive UI​ and flexible configuration solution approach to manage approval set ups with ease​

  • Auto Email Notifications​ to concerned stakeholders ​

  • Auto Document Generation (Contract summary) and shared over Email​​

  • View Upcoming Contract Renewals along with Capex & Opex split visibility​​

  • Managed Access controls to ensure data accuracy​​

RESULT

  • Power App is a Centralised Cloud based platform which provides freedom to access the solution on any device and from anywhere.​

  • The process is simplified with an intuitive UI and ensures the relevant governance checks are in place. The solution spread across different roles including Contract Requestors, Sponsors, Domain Chapter leads, Governance Group at ITS Chapter department.​

  • Maintain Centralised Repository of the IT Related Contract Master which links with contractors​

  • Able to maintain & track contract renewal dates and meet timelines​

  • Visibility of the Expenditures (Capex+Opex) across ITS Chapter​

  • Strengthened the internal processes with usage of Pre-Defined Email templates for clear, consistent communication with concerned stakeholders​
